The Real Cost of a Missed Call for an HVAC Company

One missed call can be a $350 repair or a $7,500 new system. Here is a simple way to work out what missed calls cost your HVAC business each year.

A Missed Call Is Not Just a Missed Call

When an HVAC call goes to voicemail, it is easy to think, “They will call back.” Most of the time, they do not. They call the next company on Google.

In a 2025 CallRail survey of 1,000 US consumers, only 42% said they leave a voicemail when a business does not answer. That means more than half of the people who reach your voicemail are gone without a trace. You do not even get their name.

To understand what that costs, you need to know what an HVAC call is worth.

What One HVAC Call Is Worth

HomeAdvisor's cost guides give a good picture of what homeowners pay:

  • Average HVAC repair: about $350 (most repairs fall between $130 and $2,000)
  • Furnace replacement: $2,600 to $6,200
  • New central air installation: $3,800 to $7,500

Most calls are repairs. But some of those repair calls turn into a replacement, a maintenance plan, or a customer who calls you for the next 15 years. When you miss the first call, you lose all of that, not just the first ticket.

A Simple Formula You Can Use Today

Grab a pen. You need three numbers:

  • A = calls you miss each week (check your phone's call log)
  • B = the share of callers who usually book (be honest — 50% is a fair guess for inbound service calls)
  • C = your average ticket

Yearly cost = A × B × C × 52

Here is an example with careful, low numbers. Say you miss 5 calls a week, half of them would have booked, and your average ticket is $350:

5 × 0.5 × $350 × 52 = $45,500 a year

That number does not include a single replacement job. If just one of those missed callers each month would have needed a new $5,000 system, add another $60,000. You can run your own numbers in our missed call calculator.

Why HVAC Gets Hit Harder Than Most Trades

Heating and cooling are the biggest energy users in a home. The US Energy Information Administration says space heating and air conditioning made up 52% of household energy use in 2020. These systems work hardest during heat waves and cold snaps, which is exactly when they break.

So your calls do not arrive evenly. They pile up on the hottest and coldest days, often at night and on weekends. That is when your team is already busy, and when you are most likely to miss calls. It is also when callers are most desperate and most ready to book whoever answers first.

Calling Back Later Does Not Fix It

A Harvard Business Review study of 1.25 million sales leads found that companies who contacted a lead within one hour were nearly 7 times more likely to have a real conversation with the buyer than those who waited even one hour longer.

For a homeowner with no heat, one hour is a long time. By the time you call back, another company may already be on the way.

What to Do About It

  • Measure first. Look at last month's missed calls in your phone or carrier account. Most owners are surprised.
  • Cover the gaps. Nights, weekends, lunch, and busy days are when calls slip through.
  • Answer every call, not just some. An AI receptionist like Mercvox answers in under one second, books the job into your calendar, and alerts you right away for emergencies like no heat or a gas smell.

Mercvox starts at $79 a month. If it saves one repair call a month, it has already paid for itself several times over.
