How to Reduce No-Shows and Last-Minute Cancellations
A wasted trip costs you fuel, time, and a slot you could have filled. Research shows reminders cut no-shows. Here is a simple reminder system any service business can use.

What a No-Show Really Costs
You drive across town. You knock. Nobody is home. Or the customer says, “Oh, I forgot you were coming today.”
That one visit costs you:
- Fuel and drive time there and back
- A time slot you could have given to another customer
- Your tech's paid hours with nothing to bill
With skilled techs in short supply, wasted hours hurt more than ever. The good news is that most no-shows are easy to prevent.
What the Research Says About Reminders
The best data on reminders comes from healthcare, where missed appointments are tracked closely. A 2016 review in BMJ Open combined 21 studies with more than 16,000 patients:
- People who got a reminder were 23% more likely to show up (67% vs 54%).
- They were 25% less likely to be a no-show (15% vs 21%).
- More than one reminder worked better than a single reminder.
A plumbing visit is not a doctor's appointment, but the lesson carries over: people forget, and a quick reminder fixes most of it.
A Simple 3-Step Reminder System
- Confirm right away. As soon as the job is booked, send a text with the date, time window, and what the visit is for.
- Remind the day before. Include an easy way to reschedule. A reschedule is much better than a no-show.
- Send “on my way.” When the tech leaves for the job, text an arrival estimate. The customer has time to get home or unlock the gate.
Booking Habits That Prevent No-Shows
- Repeat the details back on the call: date, time window, and address.
- Ask about access. Gate codes, pets, parking, and whether someone needs to be home.
- Use short time windows. “Between 9 and 11” is easier to plan around than “sometime in the morning.”
- Explain your cancellation policy politely when booking, especially for long or after-hours jobs.
- Make rescheduling easy. If the only way to cancel is to call you during work hours, many people will just not show up.
Follow the Texting Rules
Appointment texts are generally treated differently from marketing texts, but you still need to identify your business and let people opt out. Our texting guide covers the basic US and Canadian rules in plain English.
How Mercvox Helps
When Mercvox books a job on a call, it confirms the details with the caller, captures access notes, and sends an SMS confirmation with a link to reschedule or cancel. Changes show up in your calendar automatically, so you can fill the slot instead of driving to an empty house.
